Rental and Payment Policies

Our policies are put in place to ensure a positive relationship with, and respect for, all guests, neighbours, and owners of our vacation homes and cottages. Policies have been developed in correspondence and conjunction with vacation home rental companies, within Canada and the United States, and are common within the industry.

Booking Policies:

Bookings and Payment:

Reservations: All bookings can be held with a credit card. Once you have booked your stay, a contract will be e-mailed to you. This contract and a minimum deposit of $500.00 are due within 30 days of your booking date. (Your booking date is the day you made your reservation with us.) After booking, the cancellation policy applies. We reserve the right to refuse to rent to anyone under the age of 25 years old.

The balance of the rental amount is due one month prior to arrival. All payments may be made by cheque, money order or bank draft in Canadian funds payable to Cariboo Cabins. We suggest including a post-dated cheque for the balance of the rental amount, when returning your contract and deposit. If you prefer to pay by credit card, a fee of 3% will be added to your payment as a credit card fee.

Damage Deposit:

A damage deposit is required for all rentals through a preauthorization on Visa or MasterCard in the week prior to your stay. A pre-authorization on your credit card secures the deposit against your credit card, but does not result in charges unless they are applicable. The amount varies dependant on the vacation home you are renting, and is typically 50% of the weekly rental rate.

Cancellation Policy:

  • Date of booking to 61 days prior to arrival: $200 booking fee plus taxes
  • 31-60 days before arrival: The full deposit is non-refundable unless the property is re-rented, at which time a full refund is given, less a $200 booking fee, plus taxes
  • 30 days or less: the full rental amount is non-refundable unless the property is re-rented, at which time a full refund is given, less a $200 booking fee, plus taxes

Minimum Stay:

  • September through June: Minimum stay is 3 nights
  • July and August: Minimum stay is one week.
  • Christmas/New Year's holidays: Minimum stay is 5 nights

Checking In and Out:

  • Check-in Time: 4:00pm
  • Check-out Time: 10:00am
  • Check-in days are Friday, Saturday or Sunday, specific to each rental home and the area it is located in. Check-in days are more flexible September through June, however are fixed in July and August
  • Early check-ins and late check-outs are typically unavailable during the months of July and August. During fall, winter and spring, you can request a early check-in or late check-out. However, confirmation on availability is typically unavailable until 48 hours prior to your check-in or check-out, as they are dependant on subsequent or previous bookings and staffing schedules.
  • Prompt Check-outs: Please be aware that it is highly important to check-out on time at 10:00am due to staffing and time limitations. Please be aware that if you are late checking out, you may be subject to a minimum fee of $50, dependant on the delay. Being late checking out, not only costs us for idle staff, it can also mean that we are not able to prepare all cabins in time for subsequent check-ins.

Deficiencies:

All cottages/vacation homes are inspected and cleaned between guests. There is a Damage/Deficiency Checklist located in the entry area of each vacation home. Should you note any damage to the building or contents, not listed on the checklist, please notify Cariboo Cabins immediately.

Cleaning Expectations:

Guests must leave the property in a similar state of cleanliness as upon your arrival. This includes washing and putting away all dishes, sweeping floors, placing garbage in receptacles, wiping the counters, fridge and stove and cleaning the BBQ. Stains and spills on carpeting need to be cleaned up immediately, and are considered to be damage and not normal wear and tear. A minimum $150 cleaning charge will apply if these expectations are not met, or if excessive cleaning to the vacation home is required. Cariboo Cabins does employ cleaning staff between each stay.

Linens and Supplies:

We provide a start-up supply of toilet paper, paper towel, hand soap, dish soap, garbage bags, and coffee filters. However, we do not replenish products during your stay. Bed linens, bath and beach towels are typically not provided, due to time and septic limitations. Our standard linen policy is to provide clean pillowcases and fitted sheets, as well as pillows, on each bed. Guests need to bring their own comforters or sleeping bags, flat sheets if desired, and towels, unless the rental listing indicates otherwise.

BBQ Propane:

Vacation homes, with a regular size BBQ, have propane tanks supplied. If you BBQ frequently, or empty the tank, please refill it for the subsequent guests. Cariboo Cabins can ensure you have a full propane tank for a $22 fee, plus tax, with advance notice.

Water:

Water to the properties is either from a well or from the lake. Water has not been treated and therefore may not be fit to drink. Please consume only bottled or boiled water. Many properties have water coolers that fit the standard 18.5L water bottles. Further information is listed in your information package or the amenities section of the website.

Conditions of Occupancy:

  1. Occupancy: Rates are typically based on a group or family of 4 - 8 persons, dependant on the size of the rental unit. This is indicated in each rental listing. Any additional persons, including children, will be charged $50 per person. All guests must be registered with Cariboo Cabins prior to arrival.
  2. Maximum occupancy: All cabins and vacation homes are subject to a maximum occupancy limit, determined by the number of beds in the rental unit.
  3. Unregistered guests: Any occupants not registered with Cariboo Cabins and/or over the maximum occupancy limit, will be considered just cause for immediate removal and loss of your rental amount. The names and ages of all occupants and vehicle details are required to be listed on the rental contract.
  4. Pets: Pets are not permitted on the properties unless the property is classified as a Pet Friendly property and a pet contract is signed. There is a $50 fee, per pet, per week. Click here for our pet policies.
  5. Visitors: There is a limit to four visitors for a maximum 4 hour period, a maximum two times per week. Visitors are not permitted between the hours of 10pm and 7am, and must abide by all rules and regulations set forth by Cariboo Cabins. Any exceptions must be authorized by Cariboo Cabins due to the extra demands on water and septic systems, and out of respect for our neighbours.
  6. Right to Enter Property: Cariboo Cabins has the authority to enter the property and/or unit. Common reasons for entering the property include, but are not limited to, maintenance, grounds keeping, garbage pick-up, hot tub maintenance and concierge services.

Rules:

  1. Property use: Guests must follow all laws, bylaws, campfire bans, rules and regulations. Illegal activities are just cause for immediate eviction.
  2. Tents and RVs: No tents, trailers, RVs or other temporary accommodations are permitted on the property unless arranged with Cariboo Cabins.
  3. Smoking: All properties are NO SMOKING. Please do not smoke inside, or within 10 feet of the cabin or vacation home, especially if windows or doors are open. All cigarette butts must be disposed of in an ashtray, however most owners do not provide ashtrays, so please bring one with you if you smoke. Please be aware that our area is exposed to a high risk of forest fire due to pine beetle in the area - use extreme caution with cigarettes. Littering around the property will result in a minimum $100 fine. Smoking inside the vacation home will result in a fee to cover deep cleaning of the residence, and also being blacklisted from future rentals.
  4. Quiet hours: 10pm - 8am Please note that the Cariboo Region is family oriented, and are most of our vacation homes are in residential areas. Please take great care to respect the neighbours in the area. All music should not be audible to neighbouring properties, even during daytime hours. Any behaviour that may constitute a nuisance is prohibited and can result in ejection. NO PARTIES.
  5. Phones: Please note the availability of a phone in the amenities listing specific to each vacation home. Phones are blocked from long distance calling, however, if for some reason, a call is placed that results in charges, your credit card will be charged to cover the expenses. Please bring a calling card for your use.
  6. Campfires: Due to the extreme risk of forest fires in this area, resulting from dry weather and pine beetles, please take great care with your campfire. Do not leave campfires unattended at any time. Fires must be kept to a reasonable size (18 inches maximum height and 1-3 pieces of firewood), and be burnt in the designated campfire area. Campfires must be completely extinguished before being left unattended. All campfire bans must be honoured.
  7. Fireplaces/Woodstoves: During the summer months, fireplaces and woodstoves are shut down, and are not to be used.
  8. Firearms: Guests are not permitted to discharge any firearms on the property. This includes pellet and BB guns.
  9. Fireworks: Although local stores may sell fireworks, BC law does not permit them to be set off at any time other than October 31st. Due to the high risk of forest fires in our area, please do not set off fireworks during your stay.
  10. ATV's, snowmobiles and motorbikes: The Cariboo is a fantastic area for trail riding, with hundred's of kms of trails to explore. Please be aware that BC law prohibits unlicensed vehicles from using roadways to access trails. In some areas, there are trails directly from our properties. In this case, renters are permitted to depart from the property. However, riding any motorized vehicle around the rental property, or in and out of the property on a regular basis (ie. more than once per hour), is strictly prohibited and constitutes a nuisance.
  11. Septic Systems: All units are on septic systems. Please use the toilet system for human waste and toilet paper only. Do not use it for the disposal of garbage, sanitary napkins, diapers, tampons, etc. If a home has laundry facilities available, please be aware that bleach is not permitted.
  12. Use of the Property: All use of the property is at your own risk. Cariboo Cabins, the property owner and respective agents are not liable for damages or losses arising in any way out of the occupation of the property.

  14. Ejection: Cariboo Cabins reserves the right to eject renters if any rules, regulations or laws are violated. Cariboo Cabins reserves the right to eject any objectionable person, persons and/or pets from the property. In the event of the exercise of this right by Cariboo Cabins, it will result in the loss of your rental amount.
